- Confirm the venue, trainer and training date before publishing invitations. Keep at least 2β3 weeks between opening registration and the session so you have time to process replies and send a reminder.
- Review the registration form before sending it and collect dietary requirements and accessibility needs in the same process. Check the participant list twice: once after registrations close and again 2β3 days before training.
- Test the laptop, projector, screen, HDMI cable, adapter, clicker, speaker and microphone together at the venue. Charge equipment the evening before and pack extension cords, power strips and charging cables as backups.
- Prepare one set of worksheets and a name badge for every registered participant, plus 5β10% extra copies. Set out the exercises in the order they appear in the programme so the trainer does not have to sort materials during the session.
- Check catering quantities against the final participant list 1β2 days before the training. Chill drinks, prepare coffee equipment and place cups, glasses, plates, cutlery and serving utensils where they can be reached without interrupting the session.
