Time management training checklist

Use this checklist to organise a time management training session from the first booking to the final room check. Start by confirming the date, venue and trainer, then build the programme and open registrations. In the final week, focus on dietary and accessibility details, participant numbers, handouts and presentation equipment. On the day itself, allow time to ventilate the room, arrange tables, charge devices and check that catering and exercises are ready before participants arrive.

Tips

  • Confirm the venue, trainer and training date before publishing invitations. Keep at least 2–3 weeks between opening registration and the session so you have time to process replies and send a reminder.
  • Review the registration form before sending it and collect dietary requirements and accessibility needs in the same process. Check the participant list twice: once after registrations close and again 2–3 days before training.
  • Test the laptop, projector, screen, HDMI cable, adapter, clicker, speaker and microphone together at the venue. Charge equipment the evening before and pack extension cords, power strips and charging cables as backups.
  • Prepare one set of worksheets and a name badge for every registered participant, plus 5–10% extra copies. Set out the exercises in the order they appear in the programme so the trainer does not have to sort materials during the session.
  • Check catering quantities against the final participant list 1–2 days before the training. Chill drinks, prepare coffee equipment and place cups, glasses, plates, cutlery and serving utensils where they can be reached without interrupting the session.

Frequently asked questions

How far in advance should I organise a time management training?
Confirm the date, venue and trainer at least 3–4 weeks in advance. Open registration soon afterwards and send a reminder 3–5 days before the training.
What should I check at the venue before time management training?
Check access, room layout, ventilation, tables, chairs, power points and accessibility at least 7 days before the session. Repeat the access and equipment check when you open the venue on the day.
How many worksheets should I print for a training session?
Print one complete set per registered participant and add 5–10% spare copies. If 20 people are attending, prepare 21–22 sets so late additions or damaged pages do not cause a problem.
When should I confirm catering numbers for training?
Use the updated participant list to confirm quantities 1–2 days before the event. Include dietary requirements and allow enough time to buy or order missing groceries and drinks.
