Tips

  • Plan around 2–3 drinks per person for the first hour, then about 1 drink per person for each additional hour. Include coffee, tea and water, and keep a few extra cups and glasses available.
  • Prepare one name badge, notepad and pen per participant, plus 10% extra. For 20 attendees, that means 22 of each, so late registrations or replacements do not disrupt registration.
  • Print handouts for every registered participant and add 2–3 spare copies. Keep A4 paper, sticky notes and flipchart markers ready for group exercises rather than assuming the venue supplies them.
  • Allow at least one working presentation connection: laptop, projector, screen, HDMI cable and the correct HDMI adapter. Bring two extension cords and power strips if the room layout puts tables away from wall sockets.
  • Set aside 15–20 minutes before registration to test the laptop, projector, microphone and coffee station. Check the image, sound, cables, hot-water equipment and serving items before participants enter.
