- Set the date, programme, venue and trainer first, then send invitations with a clear registration deadline. Allow at least one week between the registration deadline and the training day to update the participant list and collect dietary requirements.
- Test the laptop, projector, screen, HDMI cable, adapter, microphone, extension cords and power strips in the actual training room at least one day before the session. Keep a compatible adapter and spare power access available rather than discovering a connection problem when participants arrive.
- Print handouts, prepare notepads and pens, and make name badges after registrations close. Prepare at least one complete set per registered participant, plus two spare sets for late changes or damaged materials.
