  • Set a firm registration deadline at least 7 days before competition day. Use the final entries to build start lists, assign heats and identify dietary requirements before printing participant information.
  • Confirm officials and volunteers no later than 10 days before the event. Give each person a specific area, shift and contact method; walkie-talkies are useful when the track and field areas are separated.
  • Check sports equipment at least 2 days ahead, including starting blocks, hurdles, relay batons, throwing implements, high-jump equipment and crash mats. Test electronic timing, charge batteries and keep stopwatches as a backup.
  • Prepare paperwork before the venue setup: print race numbers, result forms and start lists, then pack them by event. Bring a printer or spare copies if late changes are likely.
