  • Set the format before opening registration: decide the number of rounds, scoring method, time limits and penalties, then print the rules so every participant and judge uses the same criteria.
  • Inspect the venue at least one day before the competition. Measure the course, check turning space and ground conditions, and position cones, bollards, barriers and plastic obstacles without blocking emergency access.
  • Create the start order after registrations close, allowing extra time for late arrivals and equipment checks. Send each participant the arrival time, parking instructions, rules and any required caravan or tractor details.
  • Prepare a separate timing and judging station with stopwatches, jury tables, printed rules and a backup timing method. Test the megaphone or sound system before competitors arrive, especially if the course is spread out.
  • Plan the catering around the schedule rather than the other way around. Set up coffee machines, kettles, coolers and thermos flasks before registration, and place reusable cups, plates, cutlery and waste bins where queues will not cross the course.
