  • Set a registration deadline at least 7 days before the meeting. Use the final guest list to prepare name badges, confirm dietary requirements and print the right number of programs.
  • Ask presenters for their final presentation files 2–3 days before the meeting, then test every file on the actual projector, screen and presentation clicker. Pack extension cords and power strips as part of the equipment check.
  • Finish the room layout at least 2 hours before opening. Set tables and chairs first, then place tableware, water glasses, coffee cups and the registration desk so there is time to correct missing items.
