- Confirm the date and venue before opening registration, then allow at least 8–12 weeks for invitations, speaker coordination and attendee questions. Check room capacity, furniture layout, parking and transport information at the same time.
- Request presentation files from every speaker at least 7 days before the conference. Test each file on the event laptop and projector, and keep a backup copy on a second device.
- Close or review registrations 5–7 days before the event so you can send the caterer final numbers and a complete dietary list. Add a small buffer only if your supplier allows changes without waste or extra charges.
- Send parking, transport and arrival instructions with the final attendee information at least 3 days in advance. Put the same details on entrance signage so late arrivals do not have to ask staff where to go.
- Prepare name badges, printed programmes and directional signs no later than the day before. Pack spare badge holders, extension cords, power strips and charging cables with the registration materials rather than leaving them with the AV equipment.
