What to Buy and Bring for a Pilgrimage
A pilgrimage needs more than food and devotional materials. You also need equipment for registration, route support, rest stops and the final gathering, often in places with limited power and storage. Plan tableware, coolers, water containers and serving equipment around the number of participants, then add lighting, batteries and power banks for early or late hours. Check dietary and medical information before buying food, and test sound equipment before departure day.

Tips
- Plan reusable cups, plates and cutlery for every participant, plus extra sets for helpers and replacements. For a group of 50, prepare at least 55 complete place settings.
- Pack water jugs and coolers before the departure day, not after the shopping is finished. Keep drinking water separate from food and reserve space for items needed at the rest stop.
- Bring route and prayer materials in labelled storage boxes so maps, prayer booklets and registration supplies stay dry and easy to find. Prepare one set for the registration desk and one for the person leading the group.
- Test the portable sound system, wireless microphones, extension cords and power strips at least one day before the pilgrimage. Charge power banks and check spare batteries before loading the vehicle.
- Use LED lanterns and flashlights for the departure, rest area and finish area when any part of the route may be dark. Pack candle holders and LED candles separately so they are not damaged by food or equipment.
Frequently asked questions
- What food service equipment do I need for a pilgrimage?
- For each participant, allow one cup, plate and cutlery set, then add about 10% extra. Bring serving bowls, serving spoons, platters, cutting boards, knives, thermos flasks and storage boxes for transport and cleanup.
- How much tableware should I buy for a pilgrimage?
- Count registered participants, officiants, assistants and helpers, then add 10% spare tableware. A group of 30 therefore needs at least 33 cups, plates and cutlery sets.
- What should I pack for a pilgrimage route and rest stop?
- Prepare printed route maps, prayer booklets, name stickers, water jugs, coolers, lighting and a way to transport materials. Finish packing and label each box at least one day before departure.
- When should I test the sound and lighting equipment?
- Test the portable sound system, microphones, cables, lanterns and flashlights at least 24 hours before the pilgrimage. Charge power banks and replace weak batteries before the materials are loaded.
