- Set the programme before opening registrations. List each activity by room and time, then check that the auditorium and other rooms can hold the planned groups without creating a bottleneck.
- Close registrations early enough to prepare properly. Use the final participant list and allergy list to brief supervisors and prepare food; checking these on the afternoon of the event is too late.
- Assign supervision by time slot and room, not just by activity. Include someone responsible for registration, room changes and emergencies so those jobs do not get overlooked.
