  • Set the date, programme and room plan before sending invitations. Assign each activity to a specific room and confirm that the auditorium, activity spaces and toilets are available for the full evening.
  • Close registration before printing participant and allergy lists. Check parent contact details and dietary requirements, then print the final lists shortly before the event so late changes are not missed.
  • Test the technical setup at least one day ahead. Connect the laptop, projector, screen, HDMI cables, speakers and microphone, and check extension cords, power strips and charging equipment in the rooms where they will be used.
  • Build the supervision schedule around the programme rather than filling gaps afterward. Make sure every room has an assigned adult, including registration, food service and transitions between activities.
  • Shop and prepare refreshments with timing in mind. Chill drinks several hours before arrival, prepare snacks close enough to serving time, and set out reusable cups, plates, bowls and serving utensils before students enter.
