Bike Ride Shopping List

Use this shopping list to prepare a supported bike ride, from registration and rest stops to the finish area. Plan drinks, coffee, tea, soup, and bread for the expected rider count, then add safety and repair supplies for problems on the route. Spare tubes, pumps, helmets, first-aid kits, and mobile phones are easy to overlook until someone needs them. You will also need practical items for route marking, food service, waste collection, and setting up the start and rest areas.

Tips

  • Plan at least two drinking glasses or cups per participant if you are serving drinks at more than one stop. Add extra stock for volunteers and riders who refill.
  • Bring one spare inner tube for every 10 to 15 bikes, plus at least one pump and repair kit at each staffed repair point. Check that the tube sizes match the bikes using the route.
  • Allow one mug per coffee or tea drinker and one soup bowl per person expected at the meal stop. Set aside serving spoons, bread knives, plates, and cutlery before packing the food.
  • Pack safety vests, traffic cones, route arrows, and signs together by location so volunteers can mark the route quickly. Keep flashlights and mobile phones available for anyone working after dark or in poor visibility.
  • Count tables, chairs, tents, waste bins, kettles, coffee machines, and soup kettles for each setup point before shopping. Extension cords and power strips are easy to miss when several appliances are used in the same area.

Frequently asked questions

What food and drinks do I need for a bike ride?
Plan drinks for every rider and volunteer, with two to three servings per person during the first hour and additional refills for the route. For a meal stop, allow one bowl of soup, one bread portion, and one drink per person, then add 10% extra.
How many spare bike tubes should I bring?
Bring at least one spare inner tube for every 10 to 15 participating bikes, with a minimum of two tubes for any organized ride. Carry matching sizes, plus one pump and repair kit at each repair point.
What safety supplies are needed for a group bike ride?
Prepare one first-aid kit per support vehicle or staffed rest stop, and enough safety vests for every volunteer working near traffic. Bring traffic cones, route signs, mobile phones, and flashlights whenever visibility may be poor.
When should I buy supplies for a bike ride?
Buy packaged drinks, disposable supplies, repair parts, and safety equipment at least one week before the ride. Purchase fresh bread and other perishable food one day before, then check quantities and equipment again the evening before.
