What to Buy and Bring for a Club Ride

A club ride needs more than bikes and a planned route. You’ll need refreshments for the finish, a clear registration setup, route-marking supplies and basic repair equipment for common roadside problems. Prepare quantities from the number of riders, then add a small buffer for late registrations and extra drinks. Check the weather before shopping so you know whether you also need shelter, lighting or warmer refreshments.

Tips

  • Plan two to three drinks per rider for the first hour after arrival, then add extra water or soft drinks for hot weather. Chill the drinks before participants return and keep a separate supply for volunteers.
  • Allow one sandwich per rider, plus fruit and snacks for roughly one in every three riders who may want something extra. Buy bread and fillings no later than the day before, and keep dietary alternatives separate and clearly labelled.
  • For registration, prepare one printed participant list, one clipboard and at least one pen for every registration volunteer, plus two spare pens. Set these out before the first rider arrives so check-in does not depend on a last-minute search.
  • Pack repair supplies for the group rather than one bike: carry at least one pump, two spare inner tubes, tire levers and a multi-tool for every 15 to 20 riders. Check the kit before the ride, because missing tools are difficult to replace once the group is on the route.
  • Bring enough route arrows and securing straps to mark every turn, junction and detour, with about 10% extra in case signs are damaged or moved. Store route maps and the first aid kit at the registration desk, and keep reflective vests available for route volunteers.

Frequently asked questions

How much food do I need for a club ride?
Plan one sandwich per rider, then add fruit and snacks for around one-third of the group. For 30 riders, that means 30 sandwiches plus enough extra snacks for about 10 people.
How many drinks should I buy for a cycling club ride?
Allow two to three drinks per person for the first hour after the ride, with extra water in warm weather. For 30 riders, start with 60 to 90 drinks and add a volunteer supply.
What bike repair supplies do I need for a group ride?
For every 15 to 20 riders, bring at least one bike pump, two spare inner tubes, tire levers and one multi-tool. Check the repair kit at least one day before departure and replace anything missing.
When should I prepare the club ride shopping list?
Buy non-perishable route, registration and repair supplies at least one week before the ride. Purchase bread, fruit, chilled drinks and other fresh items one day before, then chill the drinks several hours before riders return.
