Youth Water Polo Tournament Checklist
A youth water polo tournament needs more than a pool and a match schedule. You have to confirm teams, referees and dietary requirements early, then prepare competition paperwork, caps, goals, scoreboards and refreshments. Use this checklist to work through the planning in the right order, from reserving the venue and processing registrations to marking the field and opening the changing rooms. It also helps prevent common last-minute problems, such as missing contact details, unchilled drinks or equipment that has not been tested.

Tips
- Reserve the pool and book referees before inviting teams, then set a clear registration deadline. You need enough time after that deadline to confirm team assignments and build the match schedule.
- Send the final competition schedule only after registrations and team assignments are checked. Print spare copies of the schedule and competition forms for the desk, referees and team leaders.
- Check every match-day item before teams arrive: water polo goals, nets, field lines, balls, caps, whistles, stopwatches and scoreboards. Test the PA system, microphones, extension cords and power strips at least one day beforehand.
- Collect dietary requirements with the registrations and plan snacks and drinks around the number of participants. Chill drinks before opening the venue, and set out reusable cups, plates, cutlery and serving platters where volunteers can reach them.
- Assign volunteers to specific jobs rather than asking for general help. Cover registration, the competition desk, changing-room checks, refreshments, first aid and field setup before the venue opens.
Frequently asked questions
- How far in advance should I plan a youth water polo tournament?
- Start at least 8 to 12 weeks before the tournament. Reserve the pool and book referees first, then allow several weeks for team invitations, registrations and the final match schedule.
- When should youth water polo tournament registrations close?
- Close registrations about 3 to 4 weeks before the event. That gives you time to check contact details, collect dietary requirements, confirm team assignments and send the competition schedule.
- How many water polo balls do I need for a youth tournament?
- Plan at least 2 match-ready balls for each active playing area, plus 2 spare balls for the tournament. Check them before setup so a damaged or missing ball does not delay a match.
- What should be ready before teams arrive at the pool?
- Open the venue at least 60 minutes before the first match. The goals, nets, field lines, caps, scoreboards, first aid supplies, changing rooms and registration desk should all be checked before the first team enters the pool area.
