Winter Market shopping list

A winter market needs more than products for the stalls. You also need supplies for hot drinks, food service, payments, lighting, signage and weather protection. Buy non-perishable items first, then order fresh produce close to the event so it stays in good condition. Check power access before buying or transporting equipment, and keep a small reserve of batteries, cups, labels and cleaning supplies for the final hours.

Tips

  • Plan hot drinks for the busiest hour, not the average hour. As a starting point, allow 2–3 servings per visitor during that hour and keep extra thermos bottles ready for refills.
  • Check every stall’s power requirement at least 7 days before the market. Count kettles, coffee machines, hot drink urns and food warmers separately, then bring enough extension cords and power strips for the planned layout.
  • Prepare signage and price lists at least 2 days before opening. Print one copy for each market table, plus 10–15% extra in case signs get damaged or a price changes.
  • Pack lighting as a complete kit rather than loose items. For every string of lights or LED lantern, check the batteries, extension cords and mounting supplies the day before setup.
  • Separate non-perishable shopping from fresh produce. Buy shelf-stable drinks, decorations, containers and serving supplies 1–2 weeks ahead; collect fresh food 1 day before the market and store it in coolers until service.

Frequently asked questions

What do I need for a winter market shopping list?
Plan supplies for stalls, hot drinks, food service, payments, lighting, decorations and weather protection. Include tables, containers, payment terminals or cash boxes, extension cords, power strips, kettles, coffee machines, coolers, food warmers, signs and price lists.
How much hot drink supplies do I need for a winter market?
Estimate 2–3 hot drinks per visitor during the busiest hour, then add a 10% reserve. Prepare enough cups, lids, tea or coffee, milk, sugar and serving space for that peak period rather than using the daily average.
When should I buy supplies for a winter market?
Buy non-perishable items and decorations 1–2 weeks before the event. Order or collect fresh produce 1 day before opening, and check batteries, power equipment and payment devices at least 24 hours beforehand.
How many signs and price lists should I print?
Print one set for every market table, food or drink point and entrance information area. Add 10–15% extra copies, so a market with 20 display points needs at least 22–23 sets.
