Winter Market checklist: what to arrange and when
A winter market needs more than tables and festive decorations. You have to secure the date and location, check permits and power, confirm stallholders, and plan food, payments and visitor registration. The final week is when forgotten details become problems: fresh produce, lighting, price signs, dietary information and a printed floor plan all need a clear deadline. This checklist gives you the full sequence, from the first bookings to opening morning.

Tips
- Start with the date, location and permit application before contacting stallholders. Build your layout around the available space, tent positions, entrances and power outlets, then confirm tables, lighting and other rentals.
- Set a firm stallholder registration deadline at least 10–14 days before the market. Use the final list to assign spaces, prepare the floor plan and identify any dietary requirements or electrical needs.
- Check every power-dependent item together rather than one at a time. Count the outlets, extension cords and power strips, then place coffee machines, kettles, hot-drink urns and food warmers where cables will not cross walkways.
- Finish the menu, prices and payment methods at least 7 days before opening. Prepare printed price lists and signs, test payment terminals, and keep cash boxes available as a backup if connectivity fails.
- Do the shopping in two stages: buy non-perishable supplies during the final week and order fresh produce close to the event. On setup day, print the registration list and floor plan, check decorations, and give volunteers their safety instructions before visitors arrive.
Frequently asked questions
- How far in advance should I plan a winter market?
- Start at least 8–12 weeks before the market, especially if you need a permit, party tents, lighting or many stallholders. Confirm the location and permit requirements first, then open booth reservations.
- When should winter market stallholder registrations close?
- Close registrations 10–14 days before the event. That gives you time to assign spaces, print the floor plan and registration list, and follow up on missing information.
- When should I order food for a winter market?
- Buy non-perishable items about 5–7 days beforehand and order fresh produce 1–3 days before opening. Confirm quantities after registrations and dietary requirements have been processed.
- How do I plan power for a winter market?
- Check the venue’s available outlets at least 2 weeks before the event and map them onto the layout. Test payment terminals, coffee machines, kettles, hot-drink urns and food warmers before setup, with extension cords and power strips ready.
