What you need for a wine market

A wine market needs more than bottles and tasting glasses. Visitors move between several stands, so you need separate glassware, water, cooling capacity, serving equipment and clear information at every stage. Plan supplies around your guest count and the number of exhibitors, then add a small buffer for breakage, spills and late registrations. This checklist also covers the items people often arrange too late, such as ice, extension cords, corkscrews and change for the register.

Tips

  • Plan at least one tasting glass per expected visitor, plus 10–15% extra for breakage and replacements. Keep water glasses available separately so guests do not reuse tasting glasses for water.
  • Arrange cooling before the wine delivery arrives. Count coolers, refrigerators and ice containers by stand, and allow several hours to chill white, sparkling and rosΓ© wines before doors open.
  • Buy or borrow one corkscrew for every active wine stand, with at least two spare corkscrews at the registration or service point. A missing corkscrew can stop a whole stand.
  • Prepare payment supplies at least one day ahead: cash boxes, card machines, power strips and extension cords. Test every card machine and bring enough change for the first hour of sales.
  • Order serving supplies to match the food service, not just the wine. Plates, forks, knives, spoons, serving platters and tongs should be ready before the wine delivery is sorted by stand.

Frequently asked questions

How many wine glasses do I need for a wine market?
Start with one tasting glass per registered visitor and add 10–15% extra. For 100 visitors, prepare 110–115 tasting glasses, plus separate water glasses and any red, white or champagne glasses used for dedicated service.
How much ice do I need for a wine market?
Use at least 1 kg of ice per 10 guests for cooling and replenishment, then adjust upward for warm weather or a long event. For 100 guests, that means a starting quantity of 10 kg, with additional capacity for the coolers and ice containers.
When should I buy supplies for a wine market?
Buy durable supplies and printed materials at least one week before the market. Purchase ice, fresh snacks and other short-life items within 24 hours of opening, and check the full shopping list again when the wine delivery is received.
What equipment do I need to take payments at a wine market?
Prepare at least one card machine and one cash box for each payment point, plus change for the first hour. Bring one spare power strip and extension cord per payment area, and test the equipment no later than the day before.
