Walking Challenge Shopping List

Use this list to prepare a walking challenge from registration through the finish area. The main items are route materials, participant identification, refreshments, registration supplies and safety equipment. Plan quantities from your confirmed participant list, then add a small reserve for damaged signs, missing pens or last-minute registrations. Drinks and rest-area supplies should be ready before volunteers arrive, not during setup.

Tips

  • Prepare one bib number, route map and any participant information for each registered walker, plus 5–10% extra for late registrations or replacements.
  • Place route arrows and signs at every turn and junction, and keep a spare batch available in case wind, rain or removal affects the course.
  • For a two-hour walk, plan roughly 0.5–0.75 litres of drinks per participant, with extra cups and coolers for the starting area and rest points.
  • Set aside at least one registration clipboard and two pens for every registration table. Keep spare pens, bib numbers and route maps at the check-in area.
  • Pack safety equipment by location: keep first aid kits and emergency blankets accessible, and give route volunteers safety vests, whistles and flashlights where needed.

Frequently asked questions

How much water do I need for a walking challenge?
For a two-hour walking challenge, allow about 0.5–0.75 litres per participant, depending on the weather and route. Add at least 10% extra, especially when no shops or refill points are available.
How many route signs should I buy for a walking challenge?
Prepare one clear arrow or sign for every turn, crossing and confusing junction. Add 10–15% spare signs so volunteers can replace anything damaged or missing during setup.
What registration supplies do I need for a walking challenge?
Bring clipboards, pens, bib numbers and route maps for check-in. For each registration table, provide at least one clipboard and two working pens, plus 5–10% extra participant materials.
When should I buy supplies for a walking challenge?
Buy reusable equipment and printed materials at least one week before the event. Purchase drinks and other perishable catering items one or two days before, then chill them on the day before or event morning.
