  • Set the date, distance and registration process before promoting the run. Allow at least 1–2 working days to test the payment details and registration form before sending invitations.
  • Send start instructions several days before the run, then send a reminder 24 hours before the start. Include the livestream link, timing, results instructions and what participants should do if they miss the live session.
  • Prepare each participant package from a checked address list. Order medals early enough to allow for delivery and keep a small buffer for late registrations or damaged items.
  • Run the livestream, music, countdown video and results form through one complete technical test at least 3–5 days beforehand. Test the same laptops, webcams, microphones, headphones and internet connection you will use on the day.
  • Set up the workstation and camera before race day, including power strips, extension cords and backup power banks. Keep printed start lists, bib numbers, pens and notepads nearby so a connection problem does not stop the event.
