Tips

  • Buy one bib number and one bib strap per participant, plus at least 5% extra for late registrations, damaged numbers and replacements. Keep the bibs sorted before registration opens so volunteers are not searching on race morning.
  • Plan water for every participant at the start or finish, with extra crates for warm weather and course stations. Reusable cups need a clear collection and washing plan; otherwise, runners and volunteers will leave them scattered along the route.
  • Use enough route arrows, signs, cones and barriers to make every turn clear before the first runner arrives. Pack duct tape, cable ties, markers and spare signs together so volunteers can fix loose or missing markings quickly.
  • Prepare one medal for each finisher and check trophies and prizes as soon as they arrive. Keep a small reserve of medals and separate the awards by category before the ceremony to avoid last-minute counting.
  • Set aside extension cords, power strips, the portable sound system and wireless microphones for a sound check before participants arrive. Bring stopwatches, whistles, clipboards and pens in a labelled volunteer kit rather than distributing them piecemeal.
