What you need for a Training Day

A Training Day needs more than chairs and a projector. You need registration supplies, presentation backups, materials for practical assignments, and enough tableware for coffee, water and lunch. Plan one notepad and one pen per attendee, plus extra copies of handouts and name badges. Check cables, chargers and power before the day, because missing adapters are harder to replace once the room is set up.

Tips

  • Prepare one name badge, notepad and pen for every attendee, then add 10% extra for late registrations, damaged items or visitors. Keep blank badges and spare pens at the registration desk.
  • Print handouts for the confirmed attendee count plus 10% extra. Pack the handouts with the practice materials and assignments so they are ready to distribute when the session starts.
  • Pack the presentation setup as a complete kit: laptop, projector, screen, HDMI cable, clicker, power strip, extension cord and chargers. Test the laptop and presentation at least one working day before the Training Day.
  • Provide at least one water glass per attendee and enough cups for the coffee and tea service. For a full-day session, plan on two drink services before lunch and one after lunch rather than relying on a single setup.
  • Match flip-chart pads, markers, sticky notes and paper tape to the number of exercises. Keep one unopened marker pack and one spare flip-chart pad available in the room in case the first set runs out.

Frequently asked questions

What stationery do I need for a Training Day?

How many handouts should I print for a Training Day?
Print one complete set for every confirmed attendee, plus 10% extra. If 30 people are attending, prepare 33 sets so late confirmations or damaged pages do not cause a shortage.

Bring a laptop, projector, projection screen, presentation clicker, HDMI cable, power strip, extension cord and chargers. Test the full setup at least one working day beforehand and keep a backup copy of the presentation.
How much tableware is needed for a Training Day?
