Trail run shopping list: what to buy and bring
A trail run needs more than race numbers and medals. You also need supplies for marking the route, managing the start and finish, supporting volunteers, and keeping runners hydrated. This shopping list covers the practical items that are easy to overlook, from spare batteries and cable extensions to cups, luggage tags and waste bins. Use the registered participant count to scale drinks, food, bib numbers and finisher medals, then add a small reserve for late entries or damaged supplies.

Tips
- Buy bib numbers, safety pins, wristbands and luggage tags for every registered runner, plus at least 5β10% extra. Spare supplies prevent a last-minute problem when a number is lost or a new participant arrives.
- Plan route-marking supplies by the course rather than by the runner count. Take enough route arrows, kilometre markers, marking tape and traffic cones to cover every junction and risk point, with extra signs for poor visibility or damaged markers.
- For drinks, allow roughly 2β3 cups per runner at the finish and another 2β3 cups per volunteer during a long shift. Chill the drinks in coolers before the start and keep thermos flasks available for hot coffee or tea.
- Check power needs before buying or packing equipment. Count the laptops, printers, LED lamps and timing devices, then bring extension cords, power strips and power banks so registration and timing do not depend on one outlet.
- Prepare a separate finish-line box with medals, the finish banner, disposable cups, plates, cutlery, food and waste bags. Keep it together until setup; these items are often remembered only after the first runners are already approaching the finish.
Frequently asked questions
- How many bib numbers and safety pins do I need for a trail run?
- Prepare one bib number and at least two safety pins per registered runner. Add 5β10% spare bibs and pins, so an event with 100 runners should have around 105β110 bibs and at least 220 pins.
- How many cups and drinks should I buy for a trail run?
- Allow 2β3 disposable cups per runner at the finish, plus 2β3 cups per volunteer for each long shift. The exact drink volume depends on your course and weather, but buy extra for warm conditions and late arrivals rather than relying on a precise minimum.
- How much route-marking tape and how many arrows are needed?
- Count every turn, junction and risk point on the measured route, then provide at least one clear arrow or marker for each location. Add 10β15% extra marking supplies and pack spares in case signs are moved, damaged or missed during setup.
- When should I buy and prepare the trail run supplies?
- Buy durable equipment and printed materials at least 1β2 weeks before the run. Check drinks, food, batteries, power banks and weather-sensitive items 2β3 days before the event, then chill drinks and sort the route signs on the day before.
