What you need for a surprise party

A surprise party needs more than food and decorations. You also need a quiet way to receive guests, enough servingware for the full group, and equipment that will not cause last-minute problems. Use the shopping list below for tables, chairs, buffet supplies, drinks, kitchen tools, lighting and the surprise setup. Buy or borrow most items several days ahead, then chill drinks and prepare food on the day itself.

Tips

  • Plan 2–3 drinks per guest for the first hour, then allow about 1 drink per person for each additional hour. Chill the first batch before guests arrive and keep extra drinks in cool boxes.
  • Count plates, glasses, cutlery and napkins for every guest, then add 10% extra. Cakes need separate dessert plates, while coffee requires cups, spoons and enough space near the coffee maker.
  • Buy or borrow tables, chairs, a buffet table and a separate gift table at least 3 days before the party. Check that the buffet leaves a clear route to the seating and that the gift table is not in the entrance.
  • Test the Bluetooth speaker, lights, extension cords and power strips 1 day before the party. Keep cables away from walkways and prepare led lamps or light strings before the surprise guests begin arriving.
  • Collect dietary requirements before shopping and label suitable dishes before serving. Wash fruit and vegetables, prepare salads and snacks, and collect the cake on the day of the party so it stays fresh.

Frequently asked questions

How much food do I need for a surprise party?
For a 3-hour party, plan 6–8 small bites per guest, plus the main buffet food and cake. Add around 10% extra if guests may arrive hungry or if the party overlaps with a normal mealtime.
How many drinks should I buy for a surprise party?
Allow 2–3 drinks per person during the first hour and about 1 per person for every hour after that. Include water and non-alcoholic options for at least one-third of the guests.
When should I buy the decorations and party equipment?
Buy or borrow decorations, servingware, furniture and electrical equipment at least 3 days in advance. Test the speaker and lighting the day before, then hang decorations after the location has been cleared and arranged.
How many plates and glasses do I need per guest?
Provide one dinner plate, one dessert plate, one glass and one cutlery set per guest, with 10% extra. For 20 guests, that means at least 22 of each item, plus coffee cups if coffee is being served.
