Street Food Festival Shopping List

A street food festival needs more than food trucks and market stalls. Plan the servingware, drinks, ice, cooking equipment and power supplies that keep queues moving and vendors working safely. Use reusable plates, bowls and cups where possible, and match quantities to your expected attendance. Check deliveries, refrigeration and cable routes before shopping day so missing essentials do not delay setup.

Tips

  • Plan at least one reusable plate, bowl, cup and cutlery set per guest, plus a 10–15% buffer for busy periods and items waiting to be washed.
  • Buy or collect drinks and ice on the day before the festival only if you can keep them chilled. As a starting point, allow two to three drinks per person for the first hour and about 0.5 kg of ice per person for chilled drinks.
  • Count every power-dependent item before arranging extension cords, power strips and cable reels. Confirm the available power points and keep cable routes away from queues, wet areas and vehicle access.
  • Keep separate equipment for food preparation and serving: cutting boards, chef’s knives, mixing bowls, measuring cups, kitchen tongs and serving spoons should be clean and ready before food trucks arrive.
  • Do not leave waste collection, toilets and handwashing supplies until the final week. Confirm collection times and facilities at least 7 days before the event, especially if several stalls will serve food simultaneously.

Frequently asked questions

How many reusable cups do I need for a street food festival?
Plan one cup per guest for a single service, then add 10–15% extra for replacements and peak demand. For 200 guests, that means roughly 220–230 reusable cups.
How much ice should I buy for a street food festival?
Allow about 0.5 kg of ice per guest when drinks need to stay chilled in coolers. For 200 guests, start with approximately 100 kg and increase the amount if the event runs longer than four hours or takes place in hot weather.
What servingware is needed for a street food festival?
Prepare reusable plates, bowls, cups, wine glasses where needed, cutlery sets, serving spoons and tongs. Match the quantity to your guest count and add 10–15% so queues are not held up by shortages.
When should I check deliveries for a street food festival?
Confirm supplier delivery times at least 7 days beforehand, then check each delivery as it arrives on setup day. Store chilled groceries immediately and collect drinks and ice close enough to service time to keep them cold.
