Tips

  • Count every serving point before ordering furniture. Each food or information booth may need a market stall or party tent, a table, storage boxes and enough seating for the people working there.
  • Plan reusable tableware by service, not just by guest count. If food is served in several rounds, allow at least two complete turns of plates, bowls, cups, knives, forks and spoons so used items can be collected before the next rush.
  • Reserve sound and power equipment early. A performance area may need active speakers, a mixer, wireless microphones, stands, extension cords and power strips; check the available outlets before the equipment arrives.
  • Keep hot and cold service separate. Use coolers for drinks and perishable food, while kettles, coffee machines and food warmers should be placed close to suitable power outlets and away from public walkways.
  • Pack small operational items before festival day. Tablecloth racks, clothes racks, badges, T-shirts, donation boxes, floor-plan copies and storage boxes are easy to overlook and difficult to replace once the street is busy.
