Stamp Swap Meet Shopping List

A stamp swap meet needs more than tables and chairs. You will need a clear registration point, supplies for identifying traders, refreshments, and tools that help collectors examine and store stamps safely. Plan quantities around your final attendee and trader numbers: one chair per seated guest, one name badge per participant, and extra paper, pens and price tags for late arrivals. Buy or gather the consumables at least two days before the event, then chill drinks and pack the equipment the day before.

Tips

  • Prepare one name badge holder and one pen for every registered participant, plus at least 10% extra for walk-ins or damaged badges. Keep the participant list and spare A4 paper at the registration desk.
  • For drinks, allow two servings per person for the first hour and one serving per person for each additional hour. Chill bottled drinks in coolers the evening before, and count reusable cups and glasses before opening.
  • Give each trader a table number and enough price tags for their display. Pack tape, scissors and spare paper together so signs, labels or last-minute changes can be handled without searching through boxes.
  • Collectors need good visibility: provide at least one loupe, magnifying glass or pair of stamp tweezers for each active inspection point, rather than assuming everyone brings their own tools.
  • Check electrical equipment before setup. Use one power strip and a suitable extension cord for each coffee machine or kettle area, and keep cables away from walkways and the registration table.

Frequently asked questions

What should I bring to a stamp swap meet?
Bring table and seating equipment, tablecloths, registration materials, name badges, table numbers, price tags, pens, paper, tape and scissors. Add drinks, coffee or tea supplies, serving ware, snacks, coolers and stamp-handling tools such as tweezers and loupes.
How many name badges do I need for a stamp swap meet?
Prepare one badge for every registered participant and trader, then add at least 10% spare badges. For 40 registered people, prepare 44 badges so late registrations and replacements are covered.
How much food and drink do I need for a stamp exchange?
Plan two drinks per person for the first hour and one additional drink per person for every later hour. For snacks, allow roughly two portions per person per hour, with extra if the event runs through a meal period.
When should I buy supplies for a stamp swap meet?
Buy non-perishable materials at least 3 to 5 days beforehand and complete the final shopping check 2 days before the meet. Chill drinks and pack registration, signage and collector tools the day before.
