What you need for a stage run

A stage run needs more than race numbers and medals. You also need a clear way to mark the route, equip volunteers, support registration, and keep the start and finish area working throughout the event. Plan refreshments, reusable tableware, lighting, first aid supplies, and backup power before race week. This checklist gives you the practical items to buy or bring, so late shopping does not leave gaps on race day.

Tips

  • Order bib numbers, race bib straps, medal ribbons, and medals early enough to check the quantities against the final participant list. Keep spare bibs and straps available for last-minute changes.
  • Mark the route with route cones, traffic cones, barrier tape, and directional signs. Count every turning point and crossing, then add a reserve set for signs or cones that are moved or damaged.
  • Prepare the registration and timing setup with laptops, printers, mobile phones, stopwatches, power banks, extension cords, and power strips. Test the printers and charge all devices at least one day before the run.
  • Pack safety equipment where volunteers can reach it quickly: first aid kits, safety vests, emergency blankets, and flashlights. Give route marshals clear instructions on where the supplies are stored before participants arrive.
  • For the start and finish area, allow space for party tents, foldable tables, folding chairs, waste bins, and reusable cups, plates, and cutlery. Chill drinks before the event and bring enough lighting for setup, pack-down, or a finish after dark.

Frequently asked questions

What equipment do I need for a stage run?
Plan for bib numbers, straps, medals and ribbons, route markers, a start and finish arch, relay batons, a finish ribbon, stopwatches, and a megaphone. You will also need registration equipment such as laptops, printers, phones, power banks, extension cords, and power strips.
How many spare race numbers should I buy?
Buy at least 5% more race numbers and straps than your confirmed participant count. For 100 runners, that means 105 sets, with additional blanks if names or categories may change after the list closes.
What should I bring for runner and volunteer safety?
Bring at least one first aid kit for the start and finish area, plus additional kits for a long or divided route. Provide a safety vest for every route marshal and keep emergency blankets and flashlights accessible at the finish area.
When should I prepare the stage run shopping?
Order printed materials, medals, and ribbons at least 2 to 3 weeks before the event so you can correct quantity or printing errors. Buy drinks, food, batteries, and other consumables during the final week, then charge and test electrical equipment the day before.
