What to Bring to Presentation Training

A presentation training session needs more than a laptop and projector. You will need practical supplies for registration, note-taking, exercises, presentation practice, refreshments and certificates. Plan quantities around the number of participants, then add a small buffer for damaged materials or last-minute attendees. Check every presentation file and connection before people arrive, especially if the room uses HDMI adapters or shared equipment.

Tips

  • Prepare one notepad, one pen and one worksheet per participant, then add 10% extra. A group of 20 therefore needs 22 of each item.
  • Bring the laptop, projector, screen, HDMI cable, adapter, extension cords and power strips together. Test the complete setup at least 30 minutes before registration starts.
  • Prepare one name badge for every attendee and keep 2–3 blank badges at the reception table. This covers spelling corrections and unexpected participants.
  • For a half-day session, allow around 2–3 drinks per person for the first hour and about 1 drink per person for each additional hour. Chill the drinks before the session and provide glasses or cups.
  • Set aside flip-chart paper, markers and a whiteboard even when most work is done on screen. Participants often need a quick surface for feedback, timing notes or presentation structure.

Frequently asked questions

What stationery do I need for presentation training?
Provide one pen, one notepad and one worksheet per participant, plus at least 10% extra. For 20 participants, prepare 22 pens, 22 notepads and 22 worksheets.
How many name badges should I prepare for a training session?
Prepare one badge per registered participant and keep 2–3 blank badges available. Print or write them before registration so the reception table does not become a bottleneck.
What presentation equipment should I bring to training?
Bring a laptop, projector, projection screen, HDMI cable, the correct HDMI adapter, extension cords and power strips. Test the full connection at least 30 minutes before the first presentation.
How much catering and drinks do I need for presentation training?
Confirm catering quantities after registration closes and dietary requirements are collected. For drinks, plan roughly 2–3 per person in the first hour and 1 per person for each following hour, with a small extra reserve.
