How to organise presentation training

A successful presentation training day depends on a clear sequence: secure the room and date first, then manage registrations, programme content, materials and catering. Collect presentation files early so you can test every deck on the actual laptop, projector and HDMI setup. On the day, allow time to ventilate the room, arrange tables and chairs, prepare the reception table and register attendees before the first session starts. This plan covers the practical details that are often left until the last minute.

Tips

  • Set the date and room before sending invitations. Check that the room has enough tables and chairs for every attendee, plus space for a projector, flip chart and reception table.
  • Set a registration deadline at least 7 days before the training. Use the final list to confirm catering quantities and collect dietary requirements instead of guessing how much food and drink to buy.
  • Ask for practice presentations and presentation files at least 3 days in advance. Open each file on the training laptop, test the projector and screen, and check both the HDMI cable and adapter.
  • Prepare printed materials no later than the day before. Count one worksheet, notepad and pen per participant, then add a small spare stack for late registrations or damaged copies.
  • Arrive 60–90 minutes before participants. Ventilate the room, arrange the furniture, connect the equipment, cool the drinks, prepare coffee and tea, and leave enough time to solve technical problems before registration begins.

Frequently asked questions

How far in advance should I organise presentation training?
Start at least 4 weeks before the training date. Book the room and send invitations first, then close registrations about 7 days before the event so catering and materials can be confirmed.
When should presentation files be collected?
Request all presentation files at least 3 days before the session. Test them on the laptop and projector before the training day, rather than discovering font, format or connection problems during a presentation.
How early should I arrive for presentation training?
Plan to arrive 60–90 minutes before participants. This gives you time to ventilate the room, set up tables and chairs, connect the projector and microphone, prepare refreshments and arrange registration.
How many printed materials do I need for presentation training?
Prepare one worksheet, notepad and pen per registered participant, plus 5–10% extra. For 20 attendees, print or set out 21–22 copies so a late registration or replacement does not interrupt the session.
