  • Set the inspection rules before opening registration. Participants need to know the accepted animal list, judging criteria and any welfare or handling requirements before they submit an entry.
  • Close registrations early enough to build the schedule. Allow at least 3–5 days to check the animal list, assign bib numbers and send each participant a confirmed inspection time.
  • Plan the venue around the inspection flow, not just the audience. Leave clear routes between reception, inspection cages, judging tables and exits, with separate space for cage carts and waiting animals.
  • Confirm judges and volunteers twice: once when the schedule is drafted and again 48 hours before the inspection. Include arrival times, assigned areas and who covers breaks or late arrivals.
  • Do the equipment and refreshment check the day before. Test extension cords, power strips, coffee machines, speakers and the microphone; fill coolers, prepare ice packs and place printed cards and participant packs at reception.
