Tips

Plan one chair per registered guest and keep 5–10% extra seating if the venue allows it. Add stools only where they suit the stage layout and do not block sightlines.
For drinks, allow 2–3 servings per guest for the first hour, then 1–2 more for each additional hour. Chill bottled drinks in advance and provide enough glasses for one full round.
Set aside at least two wireless microphones if several poets are reading, and keep spare batteries available. Test every microphone, cable, speaker and power strip in the actual room at least 2 hours before doors open.
Provide one coffee cup, plate, fork and spoon per expected coffee-service guest, plus around 10% extra. Two coffee machines, kettles or thermos flasks may be useful when hot drinks are served throughout the recital rather than in one break.
Prepare name badges, menu card holders, table runners and any backdrop or flower arrangements before setup begins. Place the printed programme where guests can pick it up without creating a queue at the entrance.
