Tips
- Plan around two to three drinks per guest for the first hour, then one drink per person per hour. Add extra water, especially if guests will stand in the sun or help with setup.
- Allow at least one reusable drinking glass per guest, plus 10% extra for loss or delayed washing. Buy or collect enough plates, cutlery and serving utensils for the busiest food service period.
- Use one cooler for drinks and another for food where possible. Fill ice cube trays the day before and move chilled drinks into the coolers before guests arrive.
- Count every power-consuming item before collecting extension cords and power strips. Keep cables covered with cable mats wherever they cross walking routes, and test the full setup before the concert starts.
- Do not leave lighting until the last hour. Check string lights, LED work lights and spare batteries at least one day ahead, and place work lights near the stage, bar and routes to the toilets.
