What you need for a networking walk

A networking walk needs more than drinks and name badges. You will need supplies for registration, refreshments, route guidance and the short welcome before people set off. Plan quantities around your confirmed participant list, then add a small buffer for late arrivals and spares. This checklist also covers items that are easy to arrange too late, such as chilled drinks, discussion materials, extension cords and signs at stops.

Tips

  • Plan two to three drinks per person for the first hour, plus water for the route. Chill the drinks at least 4 hours before arrival and keep a separate supply for the finish.
  • Prepare one name badge and badge holder per participant, plus 5 to 10 spare sets. Put the reception table near the entrance so late arrivals can register without interrupting the group.
  • Allow one discussion card for each planned group, with at least 2 spare cards. Group participants before the event and keep the final list at the reception table.
  • Use one route sign at the start, every turn that is not obvious, and each confirmed stop. Pack tape or another way to attach signs, and check the full route before guests arrive.
  • Count power needs before bringing equipment: coffee machines, kettles, speakers and lights may require several sockets. Take extension cords and power strips, and test the setup at least 60 minutes before the first arrival.

Frequently asked questions

What drinks do I need for a networking walk?
For the first hour, plan 2 to 3 drinks per person, including water. Add extra water for warm weather and keep a separate chilled supply for the return or final stop.
How many name badges should I buy for a networking walk?
Buy one badge and holder per registered participant, plus 5 to 10 spare sets. Prepare them before the event and keep the unused spares at the reception table.
How many route signs are needed for a networking walk?
Use one sign at the start, one at every unclear turn and one at each stop. Walk the route once before the event; for a typical route, this often means 6 to 12 signs.
When should I buy and prepare supplies for a networking walk?
Order catering and check tableware quantities at least 5 working days ahead. Buy drinks and consumables 1 to 2 days before, then chill drinks and pack route materials on the day before.
