Music lecture shopping list
Plan the practical supplies for a music lecture before the speaker arrives. You will need more than chairs and a projector: coffee service, name badge holders, printed materials, cables and clear signs all affect how smoothly the session runs. Check whether the venue already provides tables, speakers, a screen or a lectern before buying or transporting them. This list helps you prepare the room, serve refreshments and keep the presentation equipment usable from the first test to the final question.

Tips
- Check the roomβs built-in equipment at least 7 days before the lecture. Confirm that the projector, screen, active speakers, microphone and audio cables work together with the presentation laptop.
- Plan coffee service by audience size, not by guesswork. For each attendee, allow one coffee cup, glass, spoon and cake plate, then add roughly 10% spare tableware for breakage and late registrations.
- Pack presentation and sound cables in one labelled box and bring at least one extension cord and power strip for the speaker area. Test every music clip through the actual speakers before visitors arrive.
- Prepare name badge holders, directional signs and the speaker board before opening the venue. Put signs at the entrance and any turn where visitors could otherwise miss the information desk or lecture room.
- Set aside waste bins and serving trays near the refreshment area before catering arrives. Keep coffee machines, kettles and thermos flasks away from the laptop, mixer and power connections to reduce spills and interruptions.
Frequently asked questions
- What equipment do I need for a music lecture?
- At minimum, prepare a laptop, projector, projection screen and suitable active speakers. Add a wireless microphone, microphone stand, audio mixer, audio cables, extension cords and power strips when the room or audience size requires them. Test the complete setup at least 1 day before the lecture.
- How many coffee cups and glasses do I need for a music lecture?
- Count one coffee cup, glass, coffee spoon and cake plate per registered visitor, then add 10% spare tableware. For 50 visitors, that means at least 55 of each item, unless the venue provides reusable stock.
- What should I bring for a music lecture coffee break?
- Prepare coffee machines, kettles, thermos flasks, serving trays, coffee cups, glasses, spoons and cake plates. Set up the service area 30 minutes before doors open so coffee can be ready without distracting from the technical check.
- When should I check the music files and projector?
- Run a full technical check at least 1 day before the event and repeat the connection test 60 minutes before visitors arrive. Play every music clip through the planned speakers, not only through the laptop, because volume and file compatibility can differ.
