Management training checklist
A management training session needs more than a trainer and a room. You need a confirmed programme, accurate registrations, dietary information, working presentation equipment and materials ready for each participant. This checklist puts the work in a practical order, from booking the venue and sending invitations to setting up the registration desk and serving refreshments. Use it to avoid last-minute printing, missing cables and an unprepared welcome.

Tips
- Confirm the venue, trainer and programme before sending invitations. Participants need the session date, start time, location, agenda and registration deadline in one clear message.
- Close registrations early enough to update the participant list and collect dietary requirements before ordering catering. A useful deadline is 7 days before the training day.
- Test the laptop, projector, screen, HDMI cable, microphone and clicker at the venue at least 1 day beforehand. Pack extension cords and power strips even if the room appears fully equipped.
- Prepare one set of training materials per participant, including worksheets, a notepad and a pen, then print a small spare batch. Put name badges in alphabetical order at the registration desk.
- Set up the room before participants arrive: tables, chairs, registration desk, flip chart and refreshments should be ready at least 30 minutes before registration opens. Chill drinks and fill coffee and tea stations before the first arrival.
Frequently asked questions
- How far in advance should I plan a management training session?
- Book the venue and trainer at least 4 to 6 weeks ahead, especially if the session has a fixed date. Finalize the programme before invitations go out, then set a registration deadline about 7 days before the session.
- When should I order catering for management training?
- Order catering after registrations and dietary requirements are checked, ideally 5 to 7 days before the training. Confirm the final participant count and any special meals with the caterer no later than 2 business days beforehand.
- What equipment do I need for a management training session?
- Plan for a laptop, projector, projection screen, HDMI cable, extension cords, power strips, presentation clicker and wireless microphone if the room requires one. Test every connection at least 1 day before the session and bring a backup presentation on a USB drive.
- How early should the room be set up before management training starts?
- Allow at least 60 minutes for tables, chairs, materials, name badges, the registration desk and refreshments. Finish the final equipment check 30 minutes before participants are due to arrive.
