What you need for a management training day

A management training day needs more than a room and a presentation. Plan the practical items that keep registration, teaching, breaks and catering running without delays. This list covers the equipment, tableware, kitchen supplies and training materials to arrange, from a projector and HDMI cable to coffee cups, notepads and flip chart sheets. Use your final participant count to set quantities, then check power, refreshments and printed materials at least one day before the session.

Tips

  • Plan one coffee cup, water glass and set of cutlery per participant, plus 10% extra for replacements and late arrivals. Have dinner plates and serving platters ready if catering includes food rather than only break snacks.
  • Prepare two to three drinks per person for the first hour, then allow one drink per person for each additional hour. Chill drinks before participants arrive and keep a separate supply of water available throughout the training.
  • Test the laptop, projector, projection screen, HDMI cable, microphone and presentation clicker together at the venue at least one day ahead. Pack extension cords and power strips even if the room appears to have enough outlets.
  • Give each participant one notepad and enough writing space, then add 10% spare notepads and markers. Print worksheets after the participant list is updated so dietary details, names and attendance numbers are current.
  • Set aside the registration desk, name badges, coat racks and training materials before the day starts. Prepare coffee makers, kettles, thermos flasks, coolers, pouring jugs and serving utensils before the first break, not during it.

Frequently asked questions

Prepare one notepad and one name badge for every registered participant, then add 10% spare sets. For 20 participants, that means 22 notepads and 22 name badges.
How much coffee and tea should I buy for a training day?
Allow around 3 to 4 cups of hot drinks per person for a full training day, including breaks. For 20 people, plan 60 to 80 servings, with extra coffee, tea and hot water for the trainer and support staff.
When should I test the projector and microphone?
Test the laptop, projector, screen, HDMI cable and wireless microphone at least one day before the training. Repeat a short sound and image check 30 minutes before participants arrive.
How many printed worksheets are needed for management training?
Print one complete set per registered participant and add 10% extra for late registrations, damaged pages or unexpected attendees. For 20 participants, print 22 sets.
