Lantern parade checklist: what to arrange and when

A lantern parade needs more than lanterns and a route. You need a confirmed meeting point, permission or notification, traffic measures, volunteers and a safe way to manage participants from registration to the finish. Use this checklist to work backwards from the parade date: handle permissions and suppliers first, then registrations and volunteer planning, and leave route checks, equipment tests and setup for the final days. It also covers the details that are easy to miss, such as nearby residents, dietary requirements and spare batteries.

Tips

  • Start with the route, meeting point and finish line before inviting anyone. Allow at least 6–8 weeks to confirm the route, reserve both locations and arrange any permit, notification or traffic measures.
  • Close registration early enough to plan safely. Set a deadline 7–10 days before the parade so you can process numbers, collect dietary requirements and create a volunteer schedule instead of guessing on the day.
  • Check every lantern and light before participants arrive. Test LED lights, battery lanterns and flashlights, and keep spare AA and AAA batteries at the reception desk; one working light per lantern is a practical minimum.
  • Brief volunteers with fixed positions and timings. Give traffic controllers the route, crossing points and emergency contact at least 30 minutes before the start, while reception volunteers arrive early enough to set out forms and materials.
  • Plan the finish as carefully as the departure. Put tables, chairs, party tents, thermos flasks, cups and serving equipment in place before the parade leaves, and check the weather forecast 24–48 hours beforehand so you can adjust the setup.

Frequently asked questions

How far in advance should I plan a lantern parade?
Start 6–8 weeks before the event. Use that time for the route, meeting point, permissions, traffic measures, insurance, suppliers and invitations; the final 7–10 days are better reserved for registrations and volunteer scheduling.
Do I need permission for a lantern parade?
Check with your local authority as soon as the route is drafted, ideally 6–8 weeks ahead. A public route may require a permit, a notification, traffic measures or approval for the assembly and finish locations.
How many volunteers do I need for a lantern parade?
Set the number from the route rather than attendance alone. Plan at least one responsible volunteer for registration, one for the front, one for the rear and one at each road crossing; add more when crossings or groups require separate supervision.
When should I send the final information to participants?
Send it 3–5 days before the parade, after the route and weather plan have been checked. Include the meeting time, exact location, finish point, what to bring, lantern-lighting guidance and a contact number for questions.
