Lantern Parade Checklist
A lantern parade needs more than lanterns and a meeting point. You need a clear route, permission checks, traffic arrangements, volunteers and a safe way to keep the group together after dark. This checklist takes you from the first route decision to the final setup, including the details people often leave too late: sanitary facilities, dietary requirements, batteries, route markers and weather checks. Use it to coordinate the parade and the reception before participants arrive.

Tips
- Set the route and meeting point before sending invitations. Check the route in person, identify dark or narrow sections, and decide where route arrows, lantern poles and volunteer checkpoints will go.
- Check permits, notifications and traffic measures several weeks before the parade. The required lead time depends on your local authority, so confirm it before advertising the date.
- Assign volunteers by task rather than asking for general help. Cover registration, route checkpoints, traffic points, refreshments and a first-aid contact, then print the participant list before setup.
- Test every lantern and light source at least one day ahead. Charge or replace batteries for LED tea lights, string lights and flashlights, and keep extension cords and power strips away from walking routes.
- Plan the reception separately from the walk. Set up tables, reusable cups, coffee equipment, snacks and waste bins before participants return, and check dietary requirements against the food you bought.
Frequently asked questions
- How far in advance should I plan a lantern parade?
- Start the route, permission and venue checks at least 6 to 8 weeks before the parade. Send invitations only after the route, meeting point and main reservations are realistic.
- How many volunteers do I need for a lantern parade?
- Allow at least 1 volunteer for registration and refreshments, plus 1 route volunteer at each checkpoint or traffic point. For a small parade, plan for about 1 volunteer per 15 to 20 participants so nobody has to leave a post unattended.
- When should I check the weather for a lantern parade?
- Check the forecast 48 hours before the event and again on the morning of the parade. Use the first check to adjust shelter, clothing advice and equipment; use the final check to confirm whether the route and outdoor setup are safe.
- What should I prepare the day before a lantern parade?
- Collect and test the lanterns, lights, batteries, speaker and microphone, and prepare route signs and safety equipment. Also print the participant list, confirm deliveries and reservations, and chill the drinks if storage is available.
