How to organise a lantern parade
A lantern parade works best when the route, permissions and safety plan are settled before you invite anyone. Start by choosing the meeting point and route, then check permits, traffic measures and sanitary facilities. Once registrations are coming in, assign volunteers to checkpoints, refreshments and crowd guidance. In the final week, check lanterns and batteries, confirm deliveries, prepare the reception area and review the weather forecast. Keep the detailed task and equipment lists beside you so nothing is left until the last hour.

Tips
- Set the route and meeting point first, then check the route on foot before sending invitations. Allow time for narrow sections, crossings, dark stretches and places where a volunteer with a flashlight or reflective vest is needed.
- Check permit, notification and traffic requirements several weeks before the parade. Do not assume a quiet residential route is exempt; road crossings, lantern poles and a public gathering may still require approval.
- Close registrations before buying refreshments and printing the participant list. Use the final headcount to plan reusable cups and plates, snacks, seating, sanitary facilities and volunteer coverage.
- Test every lantern, LED tea light, string light, portable speaker and microphone at least one day before the event. Keep spare AA batteries, extension cords, power strips and flashlights together rather than searching for them at dusk.
- Give volunteers written checkpoint instructions and a firm arrival time, ideally 60 minutes before the start. They should know the route, emergency contact, first-aid kit location and what to do if the group separates.
Frequently asked questions
- How far in advance should I organise a lantern parade?
- Start planning at least 6 to 8 weeks before the parade. Use the first 2 weeks for the route, permissions, traffic measures and reservations, then open registrations once those basics are confirmed.
- How many volunteers do I need for a lantern parade?
- Plan for at least 1 volunteer at the meeting point, 1 at the reception area and 1 at each significant crossing or route checkpoint. For a group of around 50 people, a team of 6 to 8 volunteers gives enough cover for guidance, refreshments and emergencies.
- When should I check the weather for a lantern parade?
- Check the forecast 7 days before the event and again 24 hours before it starts. Use the final check to decide whether tents, extra lighting, warmer drinks or a postponement message are needed.
- How many drinks should I prepare for a lantern parade?
- For the reception, allow 2 to 3 drinks per person for the first hour, including water, coffee or tea and other refreshments. Add about 10 percent extra for late arrivals, volunteers and spills.
