- Confirm speakers and collect their final presentations at least 5 working days before the session. Store the files on the presentation laptop and bring copies on a USB drive.
- Close or review registrations 2 to 3 days before the event so you can print the participant list, prepare name badges and give catering a reliable headcount.
- Test the projector, screen, laptop, HDMI adapters, microphones and speakers together at least 2 hours before the session. Keep extension cords, power strips and a presentation clicker at the speaking area.
- Set up the registration table 45 to 60 minutes before arrival, with the participant list, name badges and a pen. Brief the reception team on late arrivals, questions and where to direct speakers.
- Prepare coffee, tea, water and buffet items before registration opens. Chill drinks in advance and place serving platters, cutlery, glasses and waste bins where participants can reach them without blocking the entrance.
