A jam session runs smoothly when musicians, equipment and the room are ready before the first player arrives. Confirm the venue and date first, then manage invitations, registrations, dietary requirements and the performance order. In the final week, check every instrument, cable and sound item rather than assuming the venue has spares. On the day, allow time to ventilate the room, set up the instrument corner, complete the soundcheck and prepare registration, drinks, coffee and snacks.

  • Set the performance order at least 3 days before the session and share it with musicians, including arrival time and any backline they must bring. This prevents several players from discovering at registration that they need the same amplifier or keyboard.
  • Finish the equipment check 1 day before opening. Test microphones, microphone cables, instrument cables, DI boxes, amplifiers, speakers, monitor speakers and power strips together, not just individually.
  • Open the venue at least 2 hours before the first musician is expected. Use the first 30 minutes to ventilate and arrange tables, chairs and music stands, then leave at least 45 minutes for connecting the mixer, microphones and speakers.
  • Print the registration list before leaving for the venue and keep it at the registration table with directional signs. Check names, registrations and dietary requirements as visitors arrive instead of trying to reconstruct attendance later.
  • Chill drinks and put out snacks shortly before doors open, while coffee and tea can be prepared in thermos flasks. Plan about 2 to 3 drinks per person for the first hour and keep reusable cups, plates, cutlery and serving trays together at the refreshment point.
