Innovation workshop checklist

An innovation workshop needs more than a good idea and a slide deck. You need a clear program, the right group setup, tested presentation equipment, and materials ready at each workstation. This checklist takes you from choosing the date and venue to preparing coffee, snacks, name badges, worksheets, and room signage. Use it to assign responsibilities early and avoid last-minute problems such as missing dietary information, untested HDMI connections, or a room layout that does not support group work.

Tips

  • Set the program before sending invitations. Include the start and finish time, breaks, teaching methods, group work, and the moment participants need to move between workstations.
  • Collect dietary requirements when registrations come in, not during the final catering order. Close the list at least 5 working days before the workshop so the caterer has time to adjust quantities.
  • Test the laptop, projector, screen, HDMI cable, wireless presenter, and extension cords together at the venue. Do this at least 1 day before the workshop and bring a backup presentation file.
  • Assign participant groups before the day starts and prepare worksheets, name badges, and table materials by group. Place the group signs and presentation materials before participants arrive.
  • Plan the room setup around the workshop method rather than the presentation alone. Set out tables, chairs, whiteboards, flip charts, timer, coffee station, snacks, and directional signs during the final setup window.

Frequently asked questions

How far in advance should I organize an innovation workshop?
Start at least 6 to 8 weeks ahead if you need a venue, facilitator, catering, and participant registration. Finalize the program and send the reminder during the last 7 days.
What should be prepared the day before an innovation workshop?
Test all presentation equipment, confirm catering, print worksheets and name badges, assign groups, and check the room layout. Allow at least 60 minutes for a complete equipment and materials check.
How many participants should be in an innovation workshop group?
For hands-on group work, plan roughly 4 to 6 participants per group. Prepare the groups before the workshop and allow 10 to 15 minutes for registration and settling in.
When should I order catering for an innovation workshop?
Place the catering order at least 5 working days before the event, once registrations and dietary requirements are known. Confirm delivery time and serving arrangements again 1 day beforehand.
