  • Set the structure before inviting anyone. Finalize the program at least two weeks ahead, including start and finish times, activity instructions and the point at which volunteers guide participants.
  • Close or review registrations three days before the event. Use the final participant list to prepare name badges, check dietary requirements and estimate snacks and drinks instead of guessing.
  • Brief volunteers 30–45 minutes before guests arrive. Give each person one clear role, explain the program in the same words they will use with participants, and identify who handles questions or problems.
  • Build the setup around arrival first. Put the reception desk, participant list, badges and route information near the entrance, then arrange tables, chairs and information tables so people can move directly to the action activities.
  • Finish food and equipment checks before the doors open. Chill drinks, prepare snacks, test the speakers and microphone, and check extension cords and power strips at least 45 minutes in advance; these are difficult to fix once welcoming has started.
