How to organize a wine tasting from first bottle to final pour

A good wine tasting depends on sequence, temperature and timing more than decoration. Start by fixing the date, venue and guest capacity, then build the wine selection and confirm the supplier, catering and dietary information. Once registrations close, finalize quantities, set the tasting order and prepare cards, glasses, water and spit buckets. On the day, chill the wines early, arrange bottles in order and leave enough time to set the tables before guests arrive.

Tips

  • Set the final guest count before ordering wine and groceries. For each guest, plan one tasting pour of about 50 ml per wine, then add a small buffer so a late confirmation does not leave you short.
  • Choose the tasting order before printing tasting cards: normally move from lighter and fresher wines to fuller, sweeter or more intense styles. Put the bottles in that order before guests arrive so no one pours the wrong wine.
  • Chill wines several hours ahead, not just when setup starts. Keep white and sparkling bottles in wine coolers or coolers, and check every bottle when it is collected so damaged or missing wines can be replaced in time.
  • Give each guest a clean tasting glass for every wine, or plan a clearly explained rinse between pours. Put water glasses, water jugs and spit buckets on every tasting table; these are easy to forget until the first pour.
  • Finish the practical setup at least 30 minutes before the start time. Set out name badges, tasting cards, wine information signs, snacks and openers, then keep the wines in serving order until the tasting begins.

Frequently asked questions

How many wines should you serve at a wine tasting?
Plan 4 to 6 wines for a tasting lasting about 90 minutes to 2 hours. With six wines, a 50 ml tasting pour gives each guest roughly 300 ml in total, so water and spit buckets should be available from the first glass.
How much wine do I need for a wine tasting?
For tasting pours, calculate about 50 ml per wine per guest, then add 10% to cover spills and extra pours. One 750 ml bottle provides approximately 15 tasting pours of 50 ml, so 20 guests tasting six wines need about 8 bottles per wine before the buffer.
How long before a wine tasting should I chill the wine?
Chill white, rosé and sparkling wines for several hours before guests arrive; sparkling wine should be properly cold before opening. Move the bottles into coolers during setup and keep them in tasting order, while serving reds at the appropriate room temperature.
When should I finalize the guest count for a wine tasting?
Set a registration deadline at least 5 to 7 days before the tasting. Use that number to confirm catering, dietary requirements, wine quantities, glasses, tasting cards and name badges, then send a reminder shortly before the event.
