  • Set a firm sign-up deadline and collect each performer’s name, act length, equipment needs, and music file. Leave at least 7 days between the deadline and the show so you can resolve missing information.
  • Build the running order around setup changes, children’s acts, and breaks rather than placing acts only in sign-up order. Add 5 minutes of buffer after every 3 to 4 performances.
  • Assign judges and a presenter before invitations go out. Give judges printed scoring forms and explain the criteria at least 3 days before the show.
  • Test the speakers, mixer, wireless microphones, microphone stands, and music laptop in the actual venue. Complete a full sound check at least 60 minutes before doors open, including every performer who needs backing music.
