How to organize a concert marathon

A concert marathon needs more than a lineup and a venue. Several artists, technicians, volunteers, and audience groups have to move through the same space without delays. Start by fixing the date and location, then build the program around artist availability and technical changeovers. Confirm each act’s requirements early, prepare a detailed run sheet, and leave time for setup, soundchecks, meals, and unexpected changes. The plan below gives you the order of work from the first confirmations to opening the venue.

Catering

  • Groceries

Tips

  • Build the schedule around changeovers, not only performance times. Allow at least 20 to 30 minutes between acts when microphones, amplifiers, drum equipment, or monitor mixes need to change.
  • Collect technical information from every artist before publishing the program. Ask for channel lists, backline needs, DI boxes, microphones, power requirements, and arrival times so the mixing console and cables can be checked against the actual lineup.
  • Assign volunteers to specific time blocks and jobs rather than keeping a general pool. Cover artist reception, registration, stage changes, catering, and venue opening, with at least one person responsible for each area at any given time.
  • Print both the technical plan and the run sheet before event day, and keep one copy at the stage, mixing position, artist reception, and entrance. A shared digital file is useful, but it does not replace copies that can be read during a busy changeover.
  • Separate early setup from last-minute purchases. Put out non-perishable supplies and assemble furniture first; buy refrigerated products close to the event, then prepare the artist reception and catering after the technical work areas are marked out.

Frequently asked questions

How long does it take to organize a concert marathon?
Allow at least 8 to 12 weeks for a small concert marathon with several artists. Use the first 2 weeks to confirm the date, venue, acts, technicians, and technical requirements; send invitations and open registration only after the main schedule is stable.
How much time should I leave between concert acts?
Plan 20 to 30 minutes for a normal changeover and longer if the drum kit, amplifiers, monitors, or stage sections change. Add a 30-minute buffer at least once during the day so one delayed soundcheck does not affect every later performance.
When should I confirm the technical requirements for each artist?
Request technical requirements 6 to 8 weeks before the concert marathon and confirm them again 7 days before the event. Use the final information to check microphones, stands, DI boxes, cables, adapters, power strips, speakers, and stage monitors.
When should volunteers arrive for a concert marathon?
Have the setup team arrive 3 to 4 hours before the first audience entry, depending on the venue and stage size. Volunteers handling registration, artist reception, and catering should arrive at least 90 minutes before their area is needed, with assignments sent in advance.
