  • Check music rights as soon as the programme is taking shape. Keep the final approved tracks in two places: the music laptop and a separate backup player or drive.
  • Schedule the technical load-in several hours before doors open. Test the mixer, active speakers, subwoofers, microphones, DI boxes, lighting and every cable before dancers arrive.
  • Print the run sheet on the day and send the latest version to the crew beforehand. Include group order, changeover times, microphone use, lighting cues and who handles each transition.
  • Count food, drinks and serving items after registrations close, not only when catering is ordered. Dietary requirements are easy to miss if they are collected informally or after the guest list is printed.
