Hip-Hop Dance Performance Checklist

A hip-hop dance performance depends on more than rehearsing the routines. You need a confirmed venue, a reliable running order, cleared music, working sound and lighting, and a crew that knows where to be. Start with the date and dance groups, then build the programme before opening ticket sales. In the final week, check registrations, costumes, props and technical backups so the performance does not depend on one laptop, cable or last-minute volunteer.

Tips

  • Set the programme before publishing tickets. Allow time for group changes, entrances, exits and at least one short technical run-through, then print the final run sheet for the crew.
  • Treat music as a production item, not just a playlist. Check rights before promotion, keep the performance files on the music laptop, and copy them to a backup player before opening the venue.
  • Reserve sound and lighting equipment early, including active speakers, subwoofers, a mixer, DI boxes, XLR cables, extension cords, LED spotlights and a light controller. Test every connection on site rather than waiting for show day.
  • Close registrations and dietary requirements before ordering catering. Count the audience and crew separately, then check cups, glasses, plates, serving utensils, tables and waste bins against those numbers.
  • Give volunteers specific arrival times and locations. Have the crew register when they arrive, send the run sheet in advance, and leave enough time to load equipment, set up changing areas and check costumes and props.

Frequently asked questions

How far in advance should I organise a hip-hop dance performance?
Set the date and reserve the venue at least 8 to 12 weeks ahead. Confirm dance groups and technical needs early, then open ticket sales only after the programme and venue capacity are clear.
When should music rights be checked for a dance performance?
Check music rights before publishing the programme or promoting ticket sales, ideally 6 to 8 weeks before the performance. Keep a written record of the checks and use the approved files for the show.
When should I finalise the running order?
Create a working programme as soon as all dance groups are confirmed, then freeze the final running order about 7 days before the event. Print the run sheet and send it to the crew after the last changes.
What should I test on the day of a hip-hop performance?
Test the music laptop, backup player, mixer, speakers, subwoofers, microphones, lighting and every power connection during setup. Finish the sound and lighting check at least 2 hours before doors open so there is time to replace faulty cables or equipment.
