What to buy for a harvest market

A harvest market needs more than fresh produce and attractive stalls. You also need enough serving ware, hot-drink equipment, cooling capacity, storage and safe power distribution for a busy trading day. Buy shelf-stable groceries early, then order fresh produce close to the event so it arrives in good condition. Use your exhibitor and visitor numbers to set quantities, and keep a reserve for breakages, spills and late purchases.

Tips

  • Plan for at least two reusable plates, bowls and glasses per expected visitor if washing facilities are limited. Add 10% extra for breakages, queues and visitors taking a second serving.
  • For a four-hour market, allow roughly two hot drinks per visitor who is likely to use the refreshment area. Check that you have enough coffee cups, coffee, tea, milk and sugar before ordering fresh items.
  • Order fresh produce 24–48 hours before the market where possible, especially leafy vegetables, berries and cut ingredients. Keep non-perishable groceries on site at least one week in advance.
  • Count every powered item before assigning stalls: coffee machines, kettles, refrigerators and coolers can quickly exceed one circuit. Use extension cords, power strips and cable mats only after mapping the available power points.
  • Prepare one cash float for each active sales point, with plenty of small notes and coins. Keep storage crates, roll containers and pallets available so stock can move from delivery to stalls without being carried by hand.

Frequently asked questions

How much food should I buy for a harvest market?
Start with the number of registered visitors and exhibitors, then allow one tasting or small serving per expected visitor plus 10–15% extra. Buy shelf-stable groceries at least one week ahead and arrange fresh produce 24–48 hours before the market.
How many plates, bowls and glasses do I need for a harvest market?
Allow two of each reusable item per visitor if there is no fast washing station, plus 10% spare. For 100 visitors, that means about 220 plates, bowls and glasses in total, adjusted for what you actually serve.
How many coffee cups are needed for a market?
For a four-hour market, estimate two hot drinks per likely coffee-area visitor and add 10% spare. If 60 people are expected to buy a hot drink, prepare around 132 coffee cups.
When should I order fresh produce for a harvest market?
Order most fresh produce 24–48 hours before the event so it is fresh without creating a last-minute delivery problem. Confirm quantities and delivery times at least three days beforehand, and keep coolers or refrigerators ready on arrival.
