Tips

  • Confirm each food truck in writing at least 4–6 weeks before the festival, including arrival time, menu, dietary information, power requirements and payment arrangements. A verbal agreement is easy to miss when several suppliers are involved.
  • Create the site plan before hiring equipment. Mark each truck’s space, customer queue, registration desk, bar, tents, toilets and waste points, then make sure delivery vehicles still have a clear access route.
  • Build the power plan around the actual requirements of every truck and coffee station. Keep extension cords and power strips away from walkways, cover crossings with cable mats and test the setup before guests arrive.
  • Collect dietary requirements during registration and pass the final count to the relevant vendors at least 7 days beforehand. Keep the information at the registration desk so staff can answer questions without sending guests from truck to truck.
  • Do the final stock and equipment check 24–48 hours before opening. Refrigerate food and drinks, count cups, plates, cutlery, tokens and wristbands, and confirm that payment terminals, walkie-talkies, lighting and waste collection are ready.
