Food Parade Shopping List
A food parade needs more than ingredients. You will also need equipment for several cooking stations, enough reusable tableware, chilled drinks, serving supplies and a reliable way to take payments. Plan the shopping around your number of guests and the number of stalls serving at the same time. Fresh produce, sauces and marinated meat should be bought and prepared close to the event, while tents, tables, gas barbecues and card machines need arranging earlier.

Tips
- Plan one complete set of serving tools for each active food stall: include serving spoons, trays, tongs, cutting boards, knives and storage bins so stations do not share equipment during the rush.
- Buy or reserve at least one reusable plate, bowl, cup and cutlery set per guest, plus a 10β15% buffer for items left at tables or waiting to be washed.
- Check every cooking stationβs power or fuel needs at least 7 days before the parade. Count extension cords and power strips only after confirming the available outlets and the load of induction plates, fryers and warmers.
- Chill drinks for at least 12 hours before opening and fill the coolers shortly before guests arrive. A busy first hour can require roughly 2β3 drinks per person, depending on the event length and weather.
- Prepare payment supplies before shopping day: arrange cash registers, card machines and change, then print menus, prices and allergen information no later than the day before setup.
Frequently asked questions
- What do I need for a food parade?
- You need cooking equipment for each food station, servingware, tables, seating, coolers, drinks, payment equipment and cleaning or storage supplies. Start confirming tents, stalls, gas barbecues and power equipment at least 1β2 weeks ahead.
- How much tableware do I need for a food parade?
- Allow one plate, bowl, cup and cutlery set per expected guest, then add 10β15% extra. If washing during the event is not possible, plan closer to 1.5 sets per guest for a longer parade.
- How many drinks should I buy for a food parade?
- For the first hour, allow about 2β3 drinks per person, then add 1β2 drinks per person for each additional hour. Buy extra water in hot weather and chill the drinks at least 12 hours before opening.
- When should I buy food for a food parade?
- Buy shelf-stable goods and drinks several days in advance. Collect fresh produce 1 day before the event, and prepare washed vegetables, sauces and marinated meat as close to service as food-safety rules allow.
